Manage Roles

When assigning roles to a new or existing user's profile, it is important to make sure this person should have access to the agency data and system functionality authorized by that role. Please review the role definitions carefully before granting role(s) to someone.

How to Manage Roles

  1. To reassign user roles, click on the Manage Grantors link in the left navigation menu or Grantor tab drop-down menu.

  2. Perform a search and select the Manage Roles link in the Actions column. You will be directed to the Manage Roles page.

  3. The Remaining Roles field lists the roles that have not been assigned to the user (For Agency Role definitions, see the section below). The Current Roles field lists the roles which are currently assigned to the user. To add a role, select one or more roles from the Remaining Roles field. Then click the single arrow pointing to the right.

  4. To add all roles, click the arrow pointing to the right followed by a vertical bar (>|). The role(s) will move from the Remaining Roles field to the Current Roles field.

  5. To remove a role, select one or more roles from the Current Roles field. Then click the single arrow pointing to the left.

  6. To remove all roles, click the arrow pointing to the left preceded by a vertical bar (|<). The role(s) will move from the Current Roles field to the Remaining Roles field.

  7. When complete, check the verification box and click the Continue button.

  8. To cancel the action, click the Cancel Reassign button. You will be redirected back to the Manage Grantors page.

Agency Role Definitions

  • Agency Tracking Number/Notes Assigner role allows a user to assign tracking numbers and notes to submitted applications.

  • Agency Grant Retriever role allows a user to retrieve applications that are submitted to your agency. This role also allows grantors to acknowledge the application download.

  • Agency Report Viewer role allows a user to view all the applicant and organization reports.

  • Agency Template Creator role allows a user to create and manage application package templates.

  • View Applications role allows a user to view the applications submitted to your agency.

  • Manage Agencies role allows a user to create agencies and sub-agencies. Grantors should use caution when assigning this role because it gives a user the ability to access sub-agency data. A grantor must have this role in order to access sub-agencies.

  • Manage Forecasts role allows a user to add, modify, and delete forecasts within your agency’s grant opportunities.

  • Manage Grantors role allows a user to add or remove roles from other users. Grantors should use caution when assigning this role because it gives a user the ability to assign or remove other users' roles. Every agency and sub-agency must have at least one user with the Manage Grantors role. This role also allows agencies to assign/revoke roles to certificates.

  • Manage Packages role allows a user to add, modify, and delete application packages.

  • Manage Synopses role allows a user to add, modify, and delete synopses within your agency’s grant opportunities.
